Private AI Setup

We install an AI assistant on a server in your office and set it up for the work your team does every day. It prepares briefings before your team starts work and links every answer to its source. Your clients' files are processed on your own hardware instead of by an AI provider.

Right now, a lot of people already use AI at work, and often from their personal accounts. In a 2025 TELUS Digital survey of 1,000 US employees at large companies, 57% of the people who use generative AI at work said they had entered confidential information into public AI assistants. For a law firm or a medical practice, that information is covered by professional secrecy and GDPR. Instead, we set up a private AI assistant on a small server in your office. Your team uses it to draft documents and to search your own files, and the documents and prompts stay on that server. We start with the tasks that take your team the most time, and we set the assistant up for those first.

Who it’s for

  • Teams that handle confidential client files, like law firms and medical practices
  • Business owners who want AI to take on the admin work, like drafting letters and reminders

Walkthrough

Watch the assistant at work in three kinds of practice

The video has captions, and it uses example matters and patients, not client data.

The workspace

What your team sees when they start the day

Good morning. 0 things are ready for you today.

Prepared overnight on the server in your office

  • Morning briefings

The assistant prepares briefings and summaries on a schedule, and your team finds them in the workspace when they start work.

  • Linked sources

Every summary and every figure links to the document it came from, and anyone on the team can open that document and check it.

  • Approval queue

Letters and reminders that the assistant drafts wait in a queue, and a person approves each one before it's sent.

  • Activity log

The log records what the assistant did and who approved it, for your own checks and for an auditor.

We design the workspace with your team during the setup, around the tasks you picked in the workshop.

Example workflows

Three examples of what the assistant can prepare for your team

These are example workflows, not client projects. Your setup starts from the work your own team does.

  1. Law firm

A morning briefing for each lawyer

    When it runs
    Every working day, before 8:00
    What's ready
A briefing on the lawyer's own matters: what came in yesterday, and the deadlines and open tasks for this week.
    How you check it
Each line links to the email or court letter it's based on.
    Who decides
Replies that the assistant drafts wait in the lawyer's approval queue, and nothing goes to a client until the lawyer approves it.
  2. Dental practice

A patient brief before each appointment

    When it runs
The evening before, for every patient on tomorrow's list
    What's ready
A short brief on each patient: the medical alerts to check, and treatment that was planned at an earlier visit and never booked. After the visit, a draft follow-up letter and a suggested date for the next appointment.
    How you check it
Each point links to the entry in the patient record it comes from.
    Who decides
The dentist checks the brief and approves the follow-up letter, and reception books the next appointment.
  3. Accounting firm

Month-end figures with a link to every source

    When it runs
Each time a client sends documents
    What's ready
The client's invoices and receipts, entered in the firm's spreadsheet. Rows the assistant couldn't read clearly are marked for review.
    How you check it
Every row links to the page of the source document the figure came from. When a client or an auditor asks about a number, the accountant opens the link and shows them.
    Who decides
The accountant reviews the marked rows and signs off the month. The activity log records which rows the assistant entered and who checked them.

Scope

What you get, and what we quote separately

You get

  • A workshop with your team to find the tasks that take the most time, and to agree on the first ones the assistant will handle
  • The server, sourced for you at cost and installed in your office. The hardware belongs to you.
  • A workspace that your team opens in the browser, with a separate login for each person
  • Briefings and summaries that the assistant prepares on a schedule
  • An approval queue and an activity log for everything the assistant drafts
  • Search across the documents you choose, like your templates and internal procedures
  • Up to three workflows, set up and tested on your own documents
  • Access rules and backups, set up and documented for whoever looks after your IT
  • Training for your team on site, and a written guide for each workflow

Not included

  • Legal advice on GDPR or professional secrecy rules
  • Connecting the assistant to every system you use. We agree on the integrations before we start.
  • Ongoing support after handover, which we offer as a monthly plan
  • Travel outside Poland, which we bill at cost

The assistant runs on your own hardware, so it isn't as capable as the largest cloud models. In the workshop, we test it on your real documents, and we tell you which tasks it handles well and which ones still need a person.

How it runs

How the work runs once you book

  1. Week 1

We run the workshop with your team, agree on the workflows, and order the hardware.

  2. Week 2

We set up the server and the assistant, and connect the documents you've chosen.

  3. Week 3

We install the server in your office, and test each workflow with your team on your own documents.

  4. Week 4

We train your team on site, and hand over the guides and the admin access.

What we need from you

  • One person who knows how the work gets done day to day
  • A spot in the office with power and a network connection for the server
  • The documents and templates you want the assistant to use

If you're not sure AI fits the way your team works, you can book a €1,500 two-hour triage first. We look at the tasks you have in mind and tell you straight if a private setup makes sense. It's credited against the setup if you book it within 14 days.

Payment

From €9,500, and the price is fixed once we’ve agreed on the scope

You pay 50% at kickoff and 50% on delivery. Once we've agreed on the scope, the price is fixed.
